THE IMPORTANCE OF COMMUNICATION: UNLOCK THE SECRET TO STREAMLINED COMMUNICATION IN YOUR BUSINESS

In today’s fast-paced business environment, the ability to communicate effectively is more crucial than ever, especially for small businesses striving to stay ahead. COMMUNICATION PLAN

Firstly, integrating regular reviews of your communication channels into your business practices is pivotal. Aim to evaluate and refine your communication strategy at least once a month. This regular scrutiny will help cater to diverse preferences, time zones, and audiences, ensuring no one is left behind. Crafting a comprehensive communication plan, both for internal team dynamics and external project management, will significantly mitigate miscommunication and streamline your operations.

 

Some steps to help you create a Communication Plan:

  • Identify the key communication channels (who needs to speak to who about what).
  • Identify which communication channels need to be private (between certain individuals), which could be public, and which needs to be team members only and therefore hidden from the client.
  • Identify which tool is best for each communication channel you identified in step one

COMMUNICATION TOOLS

Embrace the power of modern tools like Slack for seamless team interactions and ClickUp for impeccable project management. These platforms not only foster a collaborative environment but also centralise your communications, making information retrieval a breeze.

 

With ClickUp you can create chats within project lists, create and assign comments in tasks, and even email from within a task, helping you to keep all the communication together.

 

Slack is a great communication tool to use with your team members, and maybe even your clients. You can create management level channels (to discuss the more critical topics of your business), create project channels with just your team members (to discuss the higher level project topics where you don’t want the clients to see), and create project channels for your clients, making sure that it’s for high level project topics, not task level. The reason I’m saying these channels need to be higher level or not task level is that we don’t want to lose communication. So many companies are using Slack to discuss task level details which are then easily lost. Use the likes of ClickUp to discuss the task level details, and Slack to discuss the higher level details. An example would be that you have a project in ClickUp where your team and clients have access to, and the tasks are there to progress the work and discuss the details of them. In Slack you have a project channel with just the team members, here they can escalate project issues where the client may be involved, such as they are still waiting for the client to sign off on something but are not responding, so you use the Slack channel to escalate that issue to a senior. For recurring communication to the team (such as reminders to submit their invoices or track their time), use automations to automatically send a message to the relevant Slack channel to notify them.

 

Consider leveraging automation and smart tools such as Read.Ai for meeting transcriptions and action item distribution, enhancing productivity and clarity across all projects. I use Read.Ai for all my meetings. It not only records the meeting, but also produces a transcript as well as separating out all the actions. You can then create an automation to have these actions created in your Project Management tool and assign them to the relevant people to action.

 

AUTOMATION & INTEGRATION

Some other ideas to help your communications:

  • Have you considered using a hello@ or team@ email that is linked to ClickUp? The way this works is when an email comes into the email inbox, a task is automatically created in ClickUp where a team member can either action or reply within ClickUp without having to have access to the hello@ or team@ email account. This means that you are removing a single point of failure.
  • You can use automation to enact your communication plan. For example, you could use Slack as a communication tool with your client, instead of adding them into your Project Management tool. So when a task is ready for client review, you can automatically send a message on that Slack channel saying that something is ready for them to review.
  • Where possible, use canned emails. These can be used in client or team member onboarding processes. If you utilise ClickUp as your Project Management tool, then you can map custom fields into the canned emails, giving the emails a touch of personalisation as needed.
  • In order for your meetings (whether internal or external) to be productive you need a meeting strategy. Depending on the size of your business ideally you want to aim for weekly (daily operations, project progress etc), monthly (business strategy) and quarterly (growth, goals and vision) meetings.

  3. Identify where you are sending out the same emails regularly and create canned emails that you can either send automatically or copy and paste into your email inbox to send
  4. Create a meeting strategy. Set time aside for weekly, monthly and quarterly business meetings, and identify the agenda for each meeting. Use a tool to record and transcribe the meetings so you can keep track of actions
